Taking Responsibility
For File Services

Of all critical IT systems, file services are often the last to come under governance – too complex to map, too sensitive to touch, and too tangled to know where to start. But the starting point is simple: use Northern’s State Analysis service to find out where you truly stand.

Few Organisations have the Insight Required

File services grow and mutate over decades. Shares, sites, folders, and files are created, copied, and forgotten; permissions are granted; projects are completed; and data accumulates. The changes happen silently and usually without a long-term plan or vision.

The result is an information landscape that is opaque, expensive, and difficult to defend. In parallel, expectations keep rising: AI tools are indexing file data, regulations such as NIS2 and DORA place direct accountability on how data is handled, and storage budgets are under pressure.

It’s time to take responsibility for the cost, security, and compliance of file services.
Engage Northern’s State Analysis service to start making decisions based on facts rather than assumptions.

WHEN A LACK OF INSIGHT HITS HOME

THE AUDIT ASKS
NOBODY ANSWERS

An audit, a security review, or an unexpected overage bill reveals what has been true for years: the organisation does not have an accurate picture of its file services. The response becomes reactive, rushed, and more expensive than it needed to be.

A MAJOR PROJECT STARTS
WITH THE SAME MISSING PIECES

Infrastructure refresh, consolidations, moves to/from the cloud, AI adoption. Every transformation of file data starts with the same requirement: understanding what you have, who owns it, and who has access to it. These foundations are key for defensible, risk-based decision making.

LEADERSHIP ASKS FOR AN OVERVIEW

The board or management team asks a simple question – how much data do we have, how is it protected, what does it cost? The honest answer is often that no such overview exists, and that producing one is a project in itself.

A BREACH OCCURS

A breach involving file data turns optional questions into mandatory ones: what data was exposed or lost, does that data exist elsewhere, who had access. If the answers cannot be produced quickly and with evidence, the organisation is documenting – for regulators and its own board – that it did not know the state of its own environment.

THE GOVERNANCE JOURNEY: DISCOVER, CORRECT, MAINTAIN

DISCOVER:
ESTABLISH THE FACTS

The first step is an analysis of the current state: what data exists, how it is used, who has access to it, and what it costs. This produces the factual baseline that every subsequent decision depends on.

CORRECT:
ACT ON THE FINDINGS

With the baseline in place, identified opportunities are acted on: permissions are corrected, stale data is removed, sensitive content is brought under control. Northern writes Action Proposals for customers – decision documents that present the situation, the improvement, and the risk of leaving it.

MAINTAIN:
CONTINUALLY IMPROVE

Corrections decay over time if they are not maintained. Northern helps implement Operational Workflows: standard, software-enabled, operating procedures that hold the improved state and make governance continuous.

STARTING AT THE START: DISCOVER

State Analysis – A Packaged Service, Delivered by Northern

State Analysis is a packaged discovery service. The analysis is performed by Northern’s specialists using Northern’s own software (NSS). Customer involvement is limited in scope and duration, and is mainly concerned with preparing prerequisites for the installation of NSS (the software is installed within the customer environment) and then supporting its use.

Customers choose the focus areas:

– identify opportunities for immediate savings in storage consumption and to avoid unnecessary investment

– identify opportunities to streamline file service configuration; reduce administrative overhead and operational risk

– identify commonly observed vulnerabilities and exposures in file system permissions

– establish where sensitive customer, employee, and system data is stored, and support regulatory and audit requirements

The deliverable is an actionable report

The State Analysis Report reveals where costs and risks can be reduced, and sets out prioritised recommendations on how to address them. It is presented to senior stakeholders in a review meeting included in the service.

The report is more than a document: it is the documented basis for risk–based decision making, the roadmap for the next step in getting control of file services, and the baseline against which the effect of future actions can be measured.

What is needed to get started?

Very little.

Normally:

  • An installation of Northern’s software (NSS) in the customer environment; a virtual server and a database.
  • A list of target file systems to analyse.
  • Export of summary data (choose the anonymised option to exclude file names, user names, and path information from the analysis).
  • Three web meetings: kickoff, data export, and presentation of findings to senior stakeholders.

THE NEXT STEP

File services hold much of an organisation’s most important information, yet they are rarely understood. The cost of that lack of insight – in storage spend, in security exposure, in compliance risk – grows silently every year.

State Analysis establishes where you stand: where costs can be reduced, where risks can be controlled, and what the path forward looks like. From there, governance becomes a clear journey with steps defined for your specific situation.

Northern provides the software, the specialists, and the complete journey from raw file services to continuous file service governance.

The first step is not a project. It is a State Analysis.
